HubSpot now provides several native backup and recovery options. These tools are useful for recovering recently deleted records and rolling back certain recent CRM changes. However, they are not the same as having an independent, continuously maintained backup history of your HubSpot account.
Here is what HubSpot protects natively, where its limits are, and when a dedicated HubSpot backup tool becomes useful.
Does HubSpot have a native backup?
Yes. HubSpot provides a CRM data backup feature for paid HubSpot accounts.
The native backup contains records and properties for objects including contacts, companies, deals, tickets, custom objects, products, calls, conversations, and tasks. HubSpot states that associations and activity data are not included in this downloadable backup.
Starter and Professional customers can create a CRM backup once per week. Enterprise customers can create one every 24 hours. Recurring scheduled backups are available to Enterprise customers, although HubSpot currently allows these scheduled backups to run weekly or every two weeks.
The result is a ZIP file containing CSV files for the included CRM objects. The download remains available through HubSpot for 14 days after the backup is completed.
This provides a useful external snapshot, but it is important to distinguish a downloadable data export from a complete automated recovery system.
Can HubSpot restore deleted records?
HubSpot includes a recycle bin for recently deleted CRM records.
Deleted records can generally be filtered and restored for up to 90 days after deletion. Administrators can select individual records, an entire page, or all records deleted during a selected date range.
This is helpful when someone accidentally deletes contacts, companies, deals, tickets, or other supported records and the problem is discovered quickly.
There are still several limitations:
- The record must have been deleted rather than permanently deleted.
- The deletion must fall inside the recovery period.
- The issue must actually be a deletion, not an incorrect update.
- Restoring a large or complicated set of changes can require manual investigation.
The recycle bin is therefore a recovery feature, but not a substitute for a long-term backup history.
Can HubSpot undo incorrect changes?
HubSpot also offers a CRM restore tool that can roll supported records back to an earlier point within the previous 14 days.
This feature can reverse certain updates caused by imports, workflows, or manual edits. Supported objects include contacts, companies, deals, tickets, calls, products, leads, marketing events, orders, tasks, and custom objects. Super Admin permissions are required.
This is a meaningful improvement over relying solely on deleted-record recovery. For example, it may help when:
- A workflow changes the wrong lifecycle stages.
- An import overwrites an important property.
- A user performs an incorrect bulk edit.
- Records are accidentally created or modified.
However, the 14-day window means the error must be detected relatively quickly. It also keeps the recovery mechanism inside the same platform that holds the production data.
Is exporting HubSpot data the same as backing it up?
No.
A regular HubSpot record export downloads the current property values and associations of the selected records. HubSpot describes record exports as useful for external analysis, sharing, and snapshot reporting.
An export can certainly form part of a backup process, but it usually has several weaknesses:
- It captures only one moment in time.
- Someone must remember to run and securely store it.
- Multiple exports must be organized to create version history.
- Re-importing CSV files is not the same as restoring the original CRM state.
- Activities, associations, attachments, and other related information may require separate handling.
- There is no automatic verification that the export is complete and recoverable.
A folder containing occasional CSV exports is better than having no external copy, but it is not the same as an automated backup and restore system.
What can cause HubSpot data loss or corruption?
Most CRM data incidents are not caused by HubSpot losing its servers. They are caused by changes made inside a functioning HubSpot account.
Common examples include:
Incorrect imports
A spreadsheet column is mapped to the wrong property and overwrites values across thousands of records.
Misconfigured workflows
A workflow enrolls a much larger audience than intended and updates lifecycle stages, lead statuses, owners, or deal fields.
Integration errors
A connected application sends incorrect or outdated values into HubSpot at scale.
Accidental deletions
An administrator deletes the wrong list, records, or objects while cleaning the CRM.
Bulk edits
A user applies a valid change to the wrong selection of records.
Delayed discovery
An error is noticed weeks or months later, after HubSpot’s short-term rollback period has passed.
These situations explain why infrastructure-level protection and customer-controlled data recovery are different responsibilities.
When do you need an independent HubSpot backup?
An independent backup becomes especially valuable when HubSpot acts as a system of record for sales, marketing, support, or customer operations.
Consider dedicated backup protection when:
- Losing CRM history would materially affect your business.
- Multiple administrators or integrations can change data.
- Your team frequently performs imports and bulk updates.
- You need recovery points older than 14 or 90 days.
- You need automated daily backups without relying on manual exports.
- You want the backup stored separately from your live HubSpot account.
- You need to restore specific records rather than reconstruct them from spreadsheets.
- You have compliance or business-continuity requirements.

HubSpot’s recovery tools are valuable and should be understood by every administrator. They solve several common short-term problems and may be enough for very small or low-risk accounts.
