Backing it up should therefore involve more than occasionally downloading a contact spreadsheet.
There are three main ways to create a copy of HubSpot data:
- HubSpot’s native CRM backup.
- Manual record and content exports.
- An automated independent HubSpot backup service.
Each option protects against different risks.
Option 1: Create a native HubSpot CRM backup
HubSpot offers a built-in CRM data backup feature for paid accounts.
To create one:
- Open Settings in HubSpot.
- Go to Data Management.
- Select Backup & Restore.
- Choose Create manual backup.
- Confirm that you want to create the backup.
- Download the backup after HubSpot finishes processing it.
The downloaded ZIP file contains separate CSV files for supported CRM objects. HubSpot includes records and properties for contacts, companies, deals, tickets, custom objects, products, calls, conversations, and tasks. Associations and activity data are not included in the native CRM backup.
Starter and Professional accounts can create one backup per week. Enterprise accounts can create one every 24 hours. Only Enterprise accounts can schedule recurring backups, which can currently run weekly or every two weeks.
Advantages of HubSpot’s native backup
- It is built directly into HubSpot.
- No additional application is required.
- It creates an external copy of important CRM records and properties.

- It is available across paid HubSpot tiers.
Limitations of HubSpot’s native backup
- The output is a collection of CSV files rather than a complete independent restore environment.
- Associations and activity data are excluded from the CRM backup.
- Starter and Professional customers must initiate backups manually.
- The backup frequency is limited by subscription.
- The download is available from HubSpot for only 14 days.
- Changes made while a large backup is processing may not appear in the resulting files.
For many businesses, native backup is a useful baseline rather than the complete solution.
Option 2: Export individual HubSpot objects
HubSpot also allows users to export records such as contacts, companies, deals, tickets, calls, products, and custom objects.
A standard record export downloads current property values and associations. It can be used to analyze data externally, share records with stakeholders, or preserve a point-in-time snapshot.
To export an object:
- Open the relevant CRM object, such as Contacts or Deals.
- Select the view or records you want to export.
- Click Export.
- Choose the properties and file format.
- Download the completed export.
You may need separate exports for different objects, properties, activities, content, and account settings.
When manual exports are useful
Manual exports work well when you need:
- A spreadsheet for analysis.
- A one-off snapshot before a major import.
- A copy of a specific segment.
- Data for a migration.
- A lightweight backup for a small HubSpot account.
Why exports are not a complete backup strategy
A backup should answer two questions:
- Do we have the data?
- Can we reliably put it back?
Exports mostly address the first question.
Reconstructing a HubSpot account from CSV files can require remapping fields, rebuilding associations, resolving duplicate records, re-uploading attachments, and checking whether automations are unexpectedly triggered.
For that reason, an export is not equivalent to a tested restore process.
Option 3: Use HubSpot’s native recovery tools
Creating backups is only one part of data protection. HubSpot also offers native recovery for certain recent incidents.
Restore deleted records
HubSpot’s record recycle bin allows administrators to restore eligible records deleted within the previous 90 days. Records can be filtered by deletion date and selected individually or in bulk.
Use this when records were deleted and the deletion was discovered within the recovery period.
Roll back recent CRM changes
HubSpot can also roll supported CRM objects back to an earlier state within the previous 14 days.
The tool covers eligible changes caused by manual edits, imports, and workflows. It supports objects including contacts, companies, deals, tickets, calls, products, leads, marketing events, orders, tasks, and custom objects.
Use this when records still exist but their values were incorrectly changed.
Option 4: Use an automated independent backup

A practical HubSpot backup checklist
Use the following checklist to evaluate your current setup:
- Are backups created automatically?
- How frequently are they created?
- How far back can you recover?
- Is the backup stored outside HubSpot?
- Are custom objects included?
- Are associations preserved?
- Can you restore one record without affecting everything else?
- Can you recover overwritten values, not just deleted records?
- Does someone receive an alert when a backup fails?
- Have you tested a restore?
- Do you know what is excluded?
- Does backup pricing increase as historical snapshots accumulate?
A backup that has never been tested should be treated as an unverified backup.
